Business Consulting firm in downtown Chicago is seeking an experienced office manager to oversee firm operations. The manager should be multi-talented and a great multi-tasker: this role has functions in human resources, and business administration. This individual will assist with the firm's needs in everything from financial, to IT, to management. Ideal candidates for this position will have a strong background in management with law firm experience. 5 years experience required. Job Responsibilities:

• Identify and plan for the changing administrative needs of the firm, work on special projects, and contribute to cost-effective management

• Assist with financial, accounting, and information technology matters

• Performance evaluation, salary administration, employee relations, motivation, counseling, disciplining, discharging, benefits administration, workers' compensation, personnel data systems, job design, resource allocation and other human resource management functions for the paralegal and support staff

• Planning and executing client development activities, marketing of legal services, and enhancing the firm's visibility and image in the desired markets

Job Requirements

• Experience in human resources, preferably in a legal setting

• Must have managed at least 6 direct reports.

• Five years management experience

• Strong management, interpersonal, organizational and prioritization skills

• Bachelor's degree in Business Administration or related field; professional certifications a plus.

The position of Executive Assistant is responsible for the organization of communication, project timelines and details, and general assistant to the CEO and Vice President. This position is a high-level position that interacts with clients and needs to adhere to high standards of professionalism. Calibrate Coaching is a fast-paced, growing company and this position will need the same energy and drive to succeed.

Core functions of this role:

Communication:

Manages Google Calendar invitations

Manages Calibrate Coaching project management software: monday.com

Consistently updating Calibrate Coaching team on important information via Monday.com, email, text and phone call

Emailing clients and responding to clients professionally and in a timely manner

Ability to communicate respectfully and professionally to all team members regarding timelines and deadlines

Technology:

Skilled in Microsoft and Google applications

Skilled in setting up conference calls for remote participants

Skilled in basic technological applications through smartphones, iOS, and PC.

Strategy:

Good understanding of strategy and business terminology

Good understanding of strategy methodology and application in a variety of situations

Organization:

Highly organized

Ability to gather information and document necessary information in a professional way

Strong note-taking skills

Strong listening skills and the ability to filter conversations for important information

Project manage all team members with the ability to push projects to deadline

Our goal is to find a smart, organized, productive, team member to assist our Director of Business Development. We are seeking a reliable and self-motivated individual. Tasks will include writing and invoicing custom orders, working with UPS and FedEx online shipping software, interacting with the production floor, and corresponding with customers and suppliers via email and telephone.

Our work environment is casual, fun, but fast-paced. Private, secure parking lot or easy access to public transportation nearby. General work Hours: Monday-Friday 8:00am-5:00pm with no weekends, but we are open to flexible hours. This position can be hourly or salaried with benefits based on experience and preferences. Candidates must be able to pass a complete security background screening and pre-employment drug test.

The ideal candidate:

• Stays organized and can handle multiple tasks hour to hour;

• Retains knowledge, takes initiative and communicates with coworkers;

• Follows instructions and meets deadlines;

• Is proficient in MS Office Suite;

• Has excellent, accurate keyboarding skills with 50-60 WPM minimum and we test;

• Is punctual and reliable with a good work ethic;

• Is comfortable taking and making phone calls and communicating with customers and suppliers with excellent verbal and written skills;

• Enjoys working in a fast-paced environment;

• Has 5+ years of experience as an executive assistant or customer support representative preferably in a manufacturing or a B2B environment

Your daily job duties include but are not limited to:

• Corresponding with customers and suppliers;

• Daily computer work with MS Office and web-based shipping programs;

• Interacting with coworkers and production floor to ensure customer satisfaction;

• Being self-directed, completing daily tasks as assigned, taking on additional work as required
